Create Tasks from Emails

Previous pageReturn to chapter overviewNext page

You can Drag and Drop emails into Swift To-Do List 8 directly from your email client (Outlook, Windows Live Mail, Mozilla Thunderbird, Lotus Notes, The Bat! and possibly others). Drop them either into the task-view or onto a to-do list in the to-do list tree. When you do that, magic happens – the email is automatically converted into a task!

Lots of tasks, maybe even majority of tasks, come to our lives via email. Therefore, this feature can be a huge time saver! It is one of the most popular features of Swift To-Do List 8, so be sure to try it!

More on Creating Tasks from Emails

You can Drag and Drop multiple emails at once.
Email subjects are used as task names.
Email body is used as task notes.
Email attachments are added as embedded task attachments.
The email itself is added as an embedded task attachment, so you can easily open the email again, and reply to it from your email client.
If a HTML variant is present in the email, the notes will retain the rich HTML formatting.
You can also Drag and Drop .eml, .msg and .mim files directly into the task-view or to-do list tree. This can be useful if your email client doesn’t support external Drag and Drop – simply export the messages to files, then Drag and Drop the files into Swift To-Do List 8.
When dragging from Outlook, you can Drag and Drop not just emails, but also Outlook tasks, and Outlook appointments
The original messages are left intact, of course. Swift To-Do List 8 works with copies.
You can also drop the email into notes or attachments panel of an existing task. In such case, the email message will be simply added as an attachment, and no new tasks will be created.

When Drag and Dropping a single email, Add Task window will open, enabling you to edit the task as needed before adding it.

When Drag and Dropping multiple emails, the tasks are added immediately. You can edit them with the Batch Edit feature via the right-click context menu, or one by one using the basic Edit Task feature.

Quick video demo of creating tasks from emails in action can be viewed on our blog (scroll to the middle of the page).

What if my email client isn’t supported?

Some email clients, like Pocomail or Evolution don’t support external Drag and Drop. However, despair not, as there is a remedy: You can simply export the email(s) from your email client to .eml, .msg or .mim file(s). Then, Drag and Drop these files into Swift To-Do List 8.

Newer versions of Lotus Notes support Drag and Drop, but it must be sometimes enabled in Lotus Notes options.

What if I use web-mail only?

You can either start using a desktop email client, like Mozilla Thunderbird or Outlook, or, if your web-mail supports export to .eml or .msg, you can export and save the emails to your hard drive, then Drag and Drop these files into Swift To-Do List 8.

Can I add tasks by sending an email?

Not yet, but it will be definitely possible in the future.
