Email Settings (SMTP)

Before Swift To-Do List can send emails, the Email Settings must be set correctly. This topic will help you to set them.

 

How to open the Email Settings dialog

To open the Email Settings dialog, right-click any task, select Email Task. Then, in the Email Task dialog, click the Settings... button.

 

The first group of settings is fairly straightforward:

 

Your name: Enter your full name
Your email address: Enter your full email address

 

The SMTP server is the tricky part. But don't worry, the thorough guide below will help you to set it!

 

I don't know what SMTP server to use

When it comes to setting the outgoing mail server (SMTP), you have several options. The most common situations are described below.

 

After you've set all the settings in the Email Settings dialog, click Send Test Mail to test them. If you can't figure out the correct settings, please contact us for additional help.

 

1.If you have a free email account, you can use a SMTP server provided with it.
This applies to GmailYahoo! Mail PlusWindows Live HotmailAOL Mail, and other free email accounts. Not every free email service comes with a SMTP access, but most of them do (including all the mentioned). Here are short guides for the four most used free email services. If you use a different service, look for the correct settings on the website of your email service or contact its support for the correct settings.
Gmail: Set the SMTP server to: smtp.gmail.com, port 587, check Authentication, and fill the user name with your full email address (eg. john@gmail.com), and the password field with your password for Gmail, check Use STARTTLS (SSL). If it then doesn't work, try port 25. You should NOT use port 465.
Windows Live Hotmail: Set the SMTP server to: smtp.live.com, port 25, check Authentication, and fill the user name with your full email address (eg. john@hotmail.com), and the password with your password for Windows Live Hotmail, and check Use STARTTLS (SSL).
Yahoo! Mail Plus: Set the SMTP Server to: plus.smtp.mail.yahoo.com, port 465, check Authentication, and fill the user name with your account name ( = your email address without the @yahoo.com ), and the password field with your password for Yahoo! Mail, check Use STARTTLS (SSL). (If it then doesn't work, try port 587).
AOL: Set the SMTP server to: smtp.aol.com (it might be different if you are not in USA), port 587, check Authenticate, fill the user name field with your AOL screen name ( = your email address without the @aol.com ) and the password field with your AOL mail password, and check Use STARTTLS (SSL).

 

2.You can use a SMTP server provided by your ISP. 
ISP is the company that provides your internet connection (eg. SBC (AT&T), Comcast, Road Runner, Verizon, America Online, EarthLink, Charter and other companies).
You can contact your ISP and ask them "how to set the outgoing mail (SMTP) server in your Windows email software".
Alternatively, look up the correct outgoing mail server on the internet. For example, if your ISP is Verizon, then search Google for "Verizon SMTP server". It is usually very easy to find the SMTP server this way.
We've located several websites that provide the correct outgoing mail server addresses for many ISPs for you: Website 1, Website 2, Website 3, Google search for these websites.

 

3.If you have a company email account, you can use your company's SMTP server.
If you don't know what the outgoing mail server is for your company, either contact your network/system administrator or the "local IT guy" if you are in a smaller company :-). You can also simply ask your colleagues for help.
Note: Sometimes the company mail servers might not work if you are sending emails from your home and not from your company network.

 

4.If you use Outlook, Mozilla Thunderbird, Poco Mail or other desktop email client to read and send your email, you can use the same outgoing mail server as the one set in your email client.
To find out which mail server you use in Outlook, start it, go to Tools -> Options, click the Mail Setup tab, click Email Accounts..., select the email account using which you want to send emails from Swift To-Do List, and click Change. This will open a dialog where you can see what outgoing mail server (SMTP) is being used. Set the same outgoing mail server in Swift To-Do List then.
The process is similar for other email clients. Usually you can see the SMTP server if you edit your email account settings.

 

5.If you have your own website, or your own hosted email account on your own domain, you can use the SMTP server provided with it.
Contact your web hosting provider support for more info, or search their knowledge base or the internet for the correct outgoing mail server (SMTP) settings.
